Who books gala and corporate transportation?
Corporate event planners, gala committees, executive assistants booking for the C-suite, and the coordinators who run roadshows and conference delegations. Their concerns line up closely: several VIPs arriving at once, a hotel entrance that jams at black-tie events, executives who need a quiet place to work between meetings, and billing that goes to the company rather than a personal card.

CERAWeek and OTC: Houston’s two big conference weeks
A chauffeur booked in advance at a fixed hourly price keeps conference-week transport costs predictable. Note that CERAWeek uses two connected venues, not the hotel alone.
The George R. Brown publishes two taxi and rideshare curbs on Avenida de las Americas, at the front of the building: Hall B on the north end and Hall E on the south end. Hilton Americas-Houston connects directly to the convention center, so delegates can walk between the two.

Houston gala venues and what to know about arriving
Two Uptown names are easy to confuse: The Post Oak Hotel and Hilton Houston Post Oak by the Galleria are separate hotels. Put the full street address on the invitation and on the booking.

When is gala season in Houston?
The calendar is busiest in spring. Houston’s 2026 social calendar packed March and April with benefit dinners: a Houston Museum of Natural Science gala in early March, a run of luncheons and galas at The Post Oak Hotel in mid and late April, and two separate events at Hilton Americas-Houston that same month.
Fall brings a second wave. The Greater Houston Partnership’s 2026 Soirée was held at The Post Oak Hotel on August 29, and The Ensemble Theatre’s 50th Anniversary Black-Tie Gala Weekend is set for October 24, 2026, at Hilton Americas-Houston. If your table is booked, book the car the same week.
Arrival timing and staging at a black-tie event
Hotel entrances back up fast at black-tie events because most guests arrive in the same short window. A car that arrives a few minutes before or after the main wave avoids the worst of the line, and a seated program usually has a fixed start that rewards punctuality more than a casual reception does.
- Give us the venue’s preferred arrival entrance; ballrooms and lobbies sometimes use different doors.
- Black-tie calls for a formal, understated arrival; tell us the dress code and any host instructions.
- For a table of ten, one Sprinter keeps the group together and arrives as one entrance.

Roadshows, executive days and shuttles
A roadshow day is a string of meetings with fixed start times and little slack. A Mercedes-Benz S-Class or Cadillac Escalade on an hourly booking stays with the executive for the whole block, so there is no ride to request between meetings. Visiting executives get flight tracking and a meet and greet with a name sign at IAH or Hobby.

How is gala and corporate transportation priced?
Hourly bookings start at 3 hours. On the current rate card, a Mercedes-Benz S-Class for 4 hours is $500.00, a Cadillac Escalade for 4 hours is $500.00, and a Mercedes-Benz Sprinter for 5 hours is $625.00, the same for pickups in any of our eight Houston service areas, from Downtown, Galleria and the Texas Medical Center to IAH, Hobby, The Woodlands, Katy and Sugar Land. Full conference days, coaches and multi-vehicle programs are quoted by text.
Invoices are emailed and carry the PO or cost center you give us.
